Germ-A-Phobe Professional Cleaning

1. Agreement to Terms

These Terms and Conditions (“Agreement”) govern all services provided by Germ-A-Phobe Professional Cleaning (“Company,” “we,” “our,” or “us”) to residential, commercial, industrial, hospitality, healthcare, educational, and government clients (“Customer,” “Client,” or “You”).

By requesting, scheduling, purchasing, or receiving services from Germ-A-Phobe Professional Cleaning, you agree to be bound by these Terms and Conditions.

 

2. Services Provided

Germ-A-Phobe Professional Cleaning provides professional cleaning, sanitization, janitorial, post-construction cleaning, move-in/move-out cleaning, pressure washing, facility support services, and related cleaning services.

Service descriptions, schedules, and pricing are outlined in service agreements, estimates, proposals, invoices, or contracts.

 

3. Estimates and Pricing

All estimates are based on information available at the time of inspection or consultation.

Final pricing may be adjusted due to:

  • Additional square footage
  • Excessive soil conditions
  • Biohazards
  • Hoarding conditions
  • Construction debris
  • Additional rooms or areas
  • Client-requested add-on services
  • Safety hazards discovered during service

Written estimates are valid for 30 days unless otherwise stated.

 

4. Payment Terms

Payment is due upon completion of service unless otherwise agreed in writing.

Accepted payment methods may include:

  • Credit Cards
  • Debit Cards
  • ACH Transfers
  • Business Checks
  • Certified Funds
  • Approved Commercial Accounts

Commercial clients may receive approved Net Terms subject to credit review.

Late payments may be subject to:

  • Late fees
  • Collection costs
  • Attorney fees where permitted by law
  • Suspension of future services

 

5. Scheduling and Access

The Client agrees to provide safe and reasonable access to the property during scheduled service times.

Delays caused by:

  • Locked facilities
  • Utility outages
  • Unsafe conditions
  • Inaccessible work areas

may result in additional charges or service rescheduling.

 

6. Cancellation Policy

Residential Clients:

  • Cancellations require at least 24 hours notice.

Commercial Clients:

  • Cancellations require at least 48 hours notice unless otherwise stated in contract.

The Company reserves the right to charge a cancellation fee for missed appointments, same-day cancellations, or repeated scheduling disruptions.

Emergency situations will be reviewed on a case-by-case basis.

 

7. Satisfaction Guarantee

Customer satisfaction is important to us.

If a Client believes a service area was missed, the Client must notify the Company within 24 hours of service completion.

The Company reserves the right to inspect and, when appropriate, re-clean the affected area before any refund consideration.

Refunds are issued solely at the Company’s discretion.

 

8. Scope of Work

Services are limited to the scope outlined in the approved estimate, proposal, service agreement, or contract.

Additional work requested on-site may require:

  • Additional labor charges
  • Additional material costs
  • Revised completion times

 

9. Furniture and Personal Property

Unless specifically agreed upon in writing:

  • Employees are not required to move heavy furniture.
  • Employees are not required to move appliances.
  • Employees are not responsible for disconnecting utilities.

Clients should remove valuable, fragile, or irreplaceable items before service.

The Company is not responsible for damage resulting from improperly secured items.

 

10. Property Conditions

Clients are responsible for informing the Company of:

  • Existing damage
  • Water leaks
  • Mold concerns
  • Structural hazards
  • Pest infestations
  • Dangerous materials

The Company reserves the right to refuse service when conditions present health or safety risks.

 

11. Health and Safety

Germ-A-Phobe Professional Cleaning follows established cleaning and sanitization procedures and utilizes professional-grade products and protocols.

Employees may utilize:

  • Personal Protective Equipment (PPE)
  • Safety equipment
  • Approved cleaning chemicals
  • Ecolab-certified products and protocols where applicable

The Company reserves the right to discontinue work if unsafe conditions exist.

 

12. Environmental Responsibility

The Company is committed to responsible cleaning practices and the use of environmentally conscious products whenever practical and appropriate.

Product selection is determined by service requirements, safety considerations, and regulatory compliance.

 

13. Commercial Client Requirements

Commercial clients may be required to provide:

  • Site-specific safety information
  • Vendor onboarding documentation
  • Facility access procedures
  • Emergency contacts
  • Compliance requirements

Additional administrative fees may apply for extensive vendor registration or compliance processing.

 

14. Insurance and Licensing

Germ-A-Phobe Professional Cleaning maintains applicable business licensing and insurance coverage as required by law.

Certificates of Insurance may be provided upon request.

Proof of coverage may be required before commencement of certain commercial projects.

 

15. Limitation of Liability

To the maximum extent permitted by law, Germ-A-Phobe Professional Cleaning shall not be liable for:

  • Pre-existing damage
  • Normal wear and tear
  • Improperly installed fixtures
  • Hidden defects
  • Mold concealed within walls
  • Structural failures
  • Loss of profits
  • Indirect or consequential damages

Any liability shall be limited to the amount paid for the specific service giving rise to the claim.

 

16. Force Majeure

The Company shall not be liable for delays or failure to perform caused by circumstances beyond its reasonable control, including:

  • Severe weather
  • Natural disasters
  • Government actions
  • Utility failures
  • Labor disruptions
  • Public health emergencies

 

17. Intellectual Property

All website content, logos, branding, marketing materials, service documents, and proprietary procedures remain the property of Germ-A-Phobe Professional Cleaning.

Unauthorized reproduction is prohibited.

 

18. Privacy

Customer information is governed by the Company’s Privacy Policy.

The Privacy Policy is incorporated into these Terms and Conditions by reference.

 

19. Dispute Resolution

The parties agree to attempt good-faith resolution of disputes prior to legal action.

Any legal proceeding shall be brought in the Commonwealth of Virginia unless otherwise required by law.

 

20. Governing Law

These Terms and Conditions shall be governed by the laws of the Commonwealth of Virginia.

 

21. Modifications

The Company reserves the right to modify these Terms and Conditions at any time.

Updated versions will be posted on the Company’s website and become effective upon publication.
